How to Convert Excel to PDF Online

An Excel spreadsheet in PDF format is readable on any device — no Excel installed, no formulas accidentally changed, no columns shifting on a different screen. Converting to PDF is the right move any time you want to share data for reading rather than editing.

When to convert Excel to PDF

  • Sharing reports and invoices. Managers, clients and finance departments prefer PDF — it looks identical everywhere and cannot be accidentally edited.
  • Printing. PDF is the universal print format; it respects page breaks and print areas.
  • Archiving. Storing a PDF snapshot alongside the XLSX gives you a human-readable record that opens without software.
  • Email attachments. Many email systems and portals accept only PDF; attachments over a certain size are also smaller as PDF in most cases.

Page layout and print area

The converter renders each sheet from top-left using the sheet's defined print area if one is set. If the sheet has no print area, all populated columns and rows are included. Wide spreadsheets are scaled to fit the page width. For precise control over which columns appear and how they break across pages, set the print area in Excel (Page Layout → Print Area → Set Print Area) before exporting.

Multiple sheets

All sheets in the workbook are rendered — each sheet becomes one or more pages in the output PDF. Hidden sheets are skipped. The sheet order in the PDF matches the tab order in the original file.

Need the data back as editable?

If you received a PDF table and need to work with the data, use the PDF to Word converter to extract the text, then copy the table into Excel — or ask for the original XLSX.
